Exhibit Hall

All of the information in the Get Started Checklist plus the clauses stated on this page are considered part of the agreement for exhibit space between the registering company and the Oregon School Facilities Management Association. The Oregon School Facilities Management Association reserves the right to modify, add, or remove terms, instructions, or policies for the general success of the conference and exhibit hall. 

Booth Assignments

OSFMA will assign booths by April 1. Exhibitors will be notified of their booth assignment by April 4. We take every effort to place competing companies away from each other. Special requests for placement will only be considered for requests to be next to another company. Email OSFMA to make that request.

Fee Modifications

OSFMA reserves the right to modify the fees applied to an exhibitor's registration due to mistakes made during the registration process. OSFMA reviews all registrations for accuracy and correct charges and will communicate with the main contact if there is an issue. Any additional charges will need to be paid by March 28. Overpayment will be rectified with a refund in the original payment form. 

Cancellation Policy

All cancellations must be submitted in writing to OSFMA. Registration and additional representative fees are refundable before March 7, 2025, less a $150 fee. No refunds will be made after March 7. Membership fees are not refundable.

Illness

If any representatives are showing symptoms of flu, covid, or other respiratory infection, are not feeling well, or have been exposed to COVID, please do not attend the conference. We will work with you to register alternate representatives or cancel registration without detriment.

Early Departure Charge

Companies who start dismantling booth equipment and displays or leave prior to 1:00 pm on Thursday, April 17, will be charged $250. Additionally, OSFMA will not accept registrations for those companies who violate this rule for the next annual conference until March 1 of the conference year.

Stated plainly: A company who is found in violation in 2025 will not be allowed to register for the 2026 Annual Conference until March 1, 2026, based on available space at that time.

Code of Conduct

OSFMA expects all representatives attending the Annual Conference to follow the Code of Conduct for Business Members. Conduct that falls outside of the Code may result in consequences such as, but not limited to, removal from an event, withdrawal of membership, or removal of the company's ability to participate in future events.

Payment

Payment can be made during the registration process by credit card or later by check. An invoice is automatically emailed to the main registrant once registration is complete. The invoice is also accessible by logging into the account that completed the registration.

Credit Cards
A credit card can be used during the registration process or to pay the invoice at a later time. OSFMA does not take payment over the phone.
